Opportunities and pipelines are integral to managing your sales and customer relationship processes. These tools provide a structured way to track, organize, and advance leads through the sales journey, ensuring no potential client is overlooked and every deal progresses efficiently.

Opportunities represent potential sales or deals within your business. Each opportunity allows you to monitor interactions, assign relevant tasks, and move closer to closing deals. Whether it’s a product inquiry or service request, opportunities ensure you have a clear view of every step taken with your prospects.

Pipelines are visual tools designed to organize and track the stages of your sales process. They help you understand where each opportunity stands, from the initial contact to closing the deal. By segmenting your sales workflow into clear stages, pipelines provide insights into your progress, bottlenecks, and forecasting.

Opportunities Tab

The Opportunities Tab is the core of the Opportunities feature, enabling you to manage and track your sales pipeline efficiently. It’s designed to help you keep track of every lead and its progress in the sales cycle.

Grid/Stage View and List View

The Grid/Stage view visually categorizes opportunities into customizable columns based on their respective stages in the pipeline, such as "New Lead," "Hot Lead," "New Booking," and more. Each column shows cards representing individual opportunities, displaying details like contact information, opportunity value, and stage-specific actions. This layout provides a clear overview of where each opportunity stands, making it ideal for quick status checks and updates.

The List View provides a detailed, table-like structure of opportunities. It displays information such as opportunity name, contact details, pipeline stage, value, tags, and timestamps. This view is best suited for users who prefer a structured approach and need to analyze data at a granular level. The toggle button in the top right allows you to switch seamlessly between Grid/Stage and List views based on your preferences.

Choose your desired pipeline to view

The pipeline dropdown menu allows you to switch between different pipelines effortlessly, providing a tailored view of your opportunities based on specific workflows or sales processes. For example, in the image, you can select between the "Marketing Pipeline" and "Second Pipeline." Once selected, the Opportunities Tab updates to display the relevant stages and opportunities for the chosen pipeline. This feature ensures you can focus on the data that matters most, whether you’re managing multiple sales strategies or organizing leads for different business objectives.

Sort and advanced filteroptions

The Opportunities feature offers powerful tools to help you organize and view your data effectively. The "Sort" functionality allows you to arrange opportunities based on various criteria such as creation date, last update, stage, status, and more. This ensures that you can prioritize and manage your workflow efficiently.

Additionally, the "Advanced Filters" feature enables you to drill down into specific opportunities by applying custom conditions, such as filtering by opportunity status or values above a defined threshold. These tools are particularly valuable for teams looking to streamline operations and focus on high-value leads, as shown in the visualizations. The images demonstrate how to apply sorting options and use filters to refine your view for better decision-making.

Export and Restore Deleted Opportunities

The Opportunities feature allows you to efficiently manage your data with export and restore functionalities. Using the "Menu" option in the top-right corner, you can export opportunities for external reporting or record-keeping, providing flexibility to analyze data outside the platform. Additionally, the "Restore Opportunities" option ensures that no valuable data is lost by allowing you to recover previously deleted opportunities. This functionality is essential for maintaining accurate records and retrieving important leads or client data that might have been removed accidentally. Import Opportunities

The "Import Opportunities" feature simplifies adding bulk data to your pipeline. Accessible through the "Import" button in the top-right corner, this tool allows you to seamlessly upload opportunities from external files into your system. Opportunity Import Process

The opportunity import process in Wind Solutions allows users to efficiently add bulk data into the system while maintaining accuracy and clarity. The process is broken down into four clear steps:

Start the Import

Navigate to the "Opportunities" tab and select the Import button. This action directs you to the import panel, where you must choose the type of data to import. Options include:

  • Contacts: Import lead and contact details.
  • Opportunities: Import detailed opportunity information like stages, pipelines, and statuses.

Upload the File

In this step, upload your file in CSV format. A sample file template can be downloaded for reference. Select how the import should handle opportunities:

  • Create Opportunities: For new data.
  • Create and Update Opportunities: To modify existing entries and add new ones.
  • Update Opportunities: Exclusively for updates to existing data.

Once uploaded, you’ll see the file preview and proceed to the mapping phase.

Map Columns to Fields

The system will display your uploaded file’s columns and allow you to match them to Wind Solutions fields. Required fields for opportunity imports include:

  • Opportunity Name
  • Pipeline
  • Contact ID (if applicable).

Ensure each field is correctly mapped to avoid data errors. Any unmapped fields can be excluded.

Verify and Finalize

Review your mapping preferences and add any necessary tags for better segmentation.

Confirm the data summary before initiating the import. This preview provides insights into what will be added or updated.

Click on Start Bulk Import to complete the process.

Post-Import Overview

After completion, navigate to the Bulk Actions tab within Opportunities to monitor the status of your import. You’ll see details such as the import label, its current status, and completed timestamp. Statistics can be viewed for further insights into imported data.

Drag and Drop your Opportunities

The drag-and-drop feature in the Opportunities tab provides a seamless way to move opportunities across different stages of your pipeline. This intuitive functionality allows users to click and hold on any opportunity card, then drag it to the desired stage within the pipeline. As depicted in the GIF, this method offers a visual and dynamic way to manage your workflow, ensuring that opportunities are always in the correct stage of the sales or service process. This feature simplifies pipeline management and keeps your progress organized at a glance.

Edit Opportunities

The Edit Opportunities feature allows users to manage and update opportunity details efficiently. It offers comprehensive options for customization and task management, including editing opportunity details, booking or updating appointments, creating tasks, and adding notes directly from the opportunity interface. These Informations of course sync and are also visible within the Contacts and Conversations feature.

Opportunity Details

The Opportunity Details section allows you to modify critical information such as the primary contact name, email, phone number, and additional contacts. You can also update opportunity-specific details like the pipeline, stage, status, opportunity value, owner, and source. This ensures that all necessary data for tracking and managing the opportunity is up-to-date and readily available.

 
 

Directly Book/Update Appointments

The Book/Update Appointments option provides seamless scheduling capabilities. You can select a calendar, define the meeting location, and set an appointment title. This feature simplifies the process of organizing appointments associated with opportunities, ensuring efficient follow-ups and time management.

 
 

Directly Create Tasks

With the Create Tasks feature, users can assign tasks related to an opportunity. You can set the task title, provide a detailed description, assign it to a specific team member, and define a due date. This helps in staying organized and ensures that all team members are aligned on the next steps.

 
 

Directly Create Notes

The Create Notes section allows you to jot down essential information or updates about an opportunity. Notes can be added in real-time, ensuring that all relevant details are recorded and accessible to the team. This feature is particularly helpful for keeping a comprehensive history of communications and actions.

 
 

Add/Manage Fields

To manage and add new fields to opportunities, Wind Solutions provides a flexible way to capture all the necessary details you need for your business processes. If there is specific information that needs to be associated with opportunities, it can be easily configured using the "Custom Fields" feature.

To access this, navigate to the "Edit Opportunity" section by selecting a specific opportunity. At the bottom of the details pane, you'll see an "Add/Manage Fields" button highlighted in the image below. Clicking this button redirects you to the "Custom Fields" settings.

Within this section, you can manage existing fields or add new ones as required. The fields can be categorized for better organization by using folders, which can also be created in the same interface.

In the "Custom Fields" view, you have the flexibility to create fields tailored to your requirements. Filter for opportunities as you can see in the image below to see depending Fields.

 The fields can be assigned to specific objects like opportunities or contacts, and each field type can be selected based on the nature of the information, such as text, dropdowns, or numbers. Once a field is created, it appears as an option in the corresponding object, ensuring seamless integration into your workflows.

 
 

Customize your Opportunity Cards (Manage Fields)

The "Customize your Opportunity Cards" feature allows users to tailor the way opportunity cards are displayed within the Opportunities tab. By selecting "Manage Fields" from the top-right corner of the screen, you can customize the information shown for each opportunity. This feature is especially useful for streamlining workflows and focusing on the most relevant data for your sales or business process.

Upon opening the "Customize Card" panel, users are presented with a "Card Preview," which updates dynamically as customization options are selected. The layout offers two views: "Default View" for detailed displays and "Compact View" for streamlined, concise information. Fields such as Opportunity Name, Opportunity Value, Business Name, and Opportunity Source can be included or excluded as desired.

Additional fields like tags, notes, tasks, and appointment schedules can also be enabled, ensuring all necessary details are just a glance away.

Once changes are made, clicking "Apply" updates the cards immediately, reflecting the new configuration. This feature provides flexibility and efficiency, adapting to the unique needs of your business operations.

Add Opportunity

The "Add Opportunity" feature is designed to streamline the process of creating new opportunities within your pipeline. By clicking the "Add Opportunity" button, prominently displayed in blue at the top-right of the Opportunities tab, users can quickly input essential details about a new lead, booking, or sales opportunity. This feature is highly accessible, making it convenient to ensure no opportunity is missed in your business process.

The "Add New Opportunity" form, as shown in the second image, allows users to input critical information such as the primary contact name, email, and phone number. Additionally, users can define the opportunity name, assign it to a specific pipeline and stage, and set its status (e.g., Open or Closed). Other fields include opportunity value, owner, followers, business name, and source, ensuring the new opportunity is detailed and organized. Once all required fields are completed, clicking the "Create" button will add the opportunity to the pipeline, ready for further management and tracking. This streamlined process makes it simple to keep your opportunities up-to-date and ensure effective pipeline management.

 
 

Pipelines Tab

The Pipelines tab is a central feature in managing your opportunities effectively. It allows users to organize, track, and customize their sales processes by categorizing leads and opportunities into defined stages. With the ability to create, edit, and delete pipelines, this tab provides the tools needed to keep your workflows streamlined and tailored to your business needs.

Create New Pipelines

To create a new pipeline, click on the green “Create new pipeline” button in the Pipelines tab. This action opens a pop-up window where you can enter the name of the pipeline and define the stages it will include. You can also add or remove stages, determine their order, and specify whether the pipeline data will be visible in funnel or pie charts. Once you've completed these configurations, click “Save” to finalize and activate the pipeline.

Edit Existing Pipelines

Editing a pipeline is straightforward and enables you to refine its setup as your business processes evolve. Select the pencil icon next to the pipeline you wish to modify. 

The editing window allows you to rename the pipeline, rearrange or rename stages, add new stages, or remove existing ones. After making the necessary adjustments, click “Save” to update your pipeline structure.

Delete Pipelines

If you need to remove an outdated or unused pipeline, locate the delete icon (trash can) beside the pipeline's name. Clicking this icon will prompt a confirmation to ensure you want to proceed with deletion. This action is irreversible, so double-check that the pipeline is no longer needed before proceeding.

 
 

Bulk Actions Tab

The Bulk Actions Tab provides a consolidated view of all large-scale operations performed within the Opportunities feature. This tab is particularly useful for tracking imports, exports, or mass edits of opportunities. Users can monitor the status of these operations, review errors, and analyze the success of their actions with detailed statistics.

The main interface of the Bulk Actions Tab lists all bulk operations, including the type of action, its completion status, the user who initiated it, and the creation and completion times. This overview is helpful for verifying if operations, such as imports or updates, were successful. Filters located on the right allow users to refine the results based on action type, status, or the user who executed the operation. For instance, users can isolate completed actions or focus on specific types like "Import."

In cases where errors occur during imports, the Bulk Import Stats panel provides detailed insights. This feature categorizes results into "Success," "Error," and "Warning," allowing users to pinpoint issues and refine their import files. By selecting the errors, users can review problematic entries and download reports for further analysis. This ensures that bulk actions are as precise and efficient as possible.

This tab is essential for businesses dealing with high volumes of data or frequent changes to their opportunities. It centralizes the management of these actions and provides transparency, making it easier to spot and resolve any potential errors. The Global Opportunity Settings page provides centralized customization options for managing opportunities and their associated contacts within your system. Located under the Opportunities & Pipelines section in the settings menu, this feature allows administrators to define key behaviors related to opportunity assignments and contact ownership. Users can enable settings such as automatically making the owner of a contact a follower of the associated opportunity or vice versa. These configurations streamline collaboration by ensuring that relevant team members are always aligned with the opportunities and contacts they manage. Adjustments to these settings can significantly improve workflow efficiency and ensure data consistency across the platform. After making changes, simply click "Save Changes" to apply the new configurations.

The Pipelines Tab here lets you view, create and edit your Pipelines.
